2. General principles

We process personal data in accordance with Regulation (EU) 2016/679 (GDPR) and applicable Italian data-protection law. Personal data is processed only to the extent necessary for the relevant purpose and where an appropriate legal basis exists.

3. Website access and server logs

When you access the website, technically necessary connection data may be processed, including IP address, date and time of access, requested page, browser and device information, and technical status or error data. This processing is used to provide the website securely and reliably and to prevent misuse. The legal basis is our legitimate interest under Art. 6(1)(f) GDPR. Log data is retained only for as long as necessary for operation, security and troubleshooting.

4. Contact, enquiry and quotation forms

If you contact us through a form, by email or by telephone, we process the information you provide, for example your name, contact details, travel dates, number and age of travellers, room preferences and message content. The data is used to respond to your enquiry, prepare an offer and take pre-contractual steps. The legal basis is Art. 6(1)(b) GDPR and, where necessary, Art. 6(1)(f) GDPR.

Enquiry data is transferred to our hotel software Xenus. Operational storage in the hotel system takes place locally at the hotel. Access is restricted to authorised staff and technically necessary service providers.

5. Online booking and Easychannel

For online bookings, the data required for the booking is processed through Easychannel and then transferred to our hotel software Xenus. This may include your name, contact details, stay details, booked services, fellow travellers and booking-related information. Processing is necessary for pre-contractual steps and performance of the accommodation contract (Art. 6(1)(b) GDPR). Processing required by tax, accounting, registration or other legal obligations is based on Art. 6(1)(c) GDPR.

6. Newsletter and SendGrid

If you subscribe to our newsletter, we process your email address and any optional information for the purpose of sending news and offers. Delivery is handled through SendGrid (Twilio). Recipient data required for delivery is transmitted to SendGrid via API and technically processed there for sending the newsletter. The legal basis is your consent under Art. 6(1)(a) GDPR.

You may withdraw your consent at any time with effect for the future, for example using the unsubscribe link in the newsletter or by contacting us. Where SendGrid processes data outside the European Economic Area, the transfer is made subject to the applicable safeguards for international data transfers.

7. Cookies and consent management

Cookies or similar storage technologies may be used for technically necessary functions. Non-essential statistics or marketing technologies are activated only after you give consent. You can change or withdraw consent at any time for the future through the privacy settings available on the website.

8. Google Analytics 4

After you give consent, we use Google Analytics 4 (GA4) to statistically analyse use of our website. The provider is Google. Usage, device, browser and event data may be processed. GA4 is activated only after consent. The legal basis is Art. 6(1)(a) GDPR. Google may also process data outside the European Economic Area, subject to the applicable safeguards for international transfers.

9. Meta Pixel

After you give consent, we use the Meta Pixel to measure the effectiveness of advertising and improve attribution of advertising audiences. The provider is Meta Platforms. Information about page views, interactions, device and browser data and links to advertising contacts may be processed. The Meta Pixel is activated only after consent. The legal basis is Art. 6(1)(a) GDPR. Meta may also process data outside the European Economic Area subject to applicable transfer safeguards.

10. External links, social media, Google Maps and 360° tour

Links to Instagram, Facebook, Google Maps, our digital guest directory and other external services are generally implemented as external links. Data is transmitted to the respective provider only when you actively open the link. From that point onward, the provider's own privacy policy applies.

The 360° tour is opened only after an active action by the user. When the externally hosted tour is opened, technical connection data may be transmitted to its operator. The privacy information of the tour provider applies to this external processing.

11. Recipients

Where necessary for the relevant purpose, personal data may be disclosed to authorised staff, IT and hosting providers, Easychannel, Xenus, SendGrid/Twilio and – only after the required consent – Google and Meta. Other disclosure takes place only where required by law, necessary to perform a contract or otherwise legally permitted.

12. Retention

We retain personal data only for as long as necessary for the relevant purpose and then delete or restrict it unless statutory retention obligations apply. Booking, invoice and tax-relevant data is retained for the legally required periods. Non-binding enquiries are deleted when no longer needed for handling and reasonable follow-up. Data processed on the basis of consent is generally processed until consent is withdrawn or the purpose no longer applies, unless a legal obligation requires further retention.

13. Requirement to provide data

Information marked as mandatory is required so that we can respond to an enquiry. For a booking, data necessary for the contract and statutory obligations must be provided. Without this information, an enquiry may not be processed or a booking may not be completed.

14. Data relating to minors

For family bookings, data relating to minors may be processed where required for quotations, bookings, price calculations or statutory reporting obligations. Such information is normally provided by parents, guardians or other persons authorised to make the booking.

15. Your rights

Subject to the legal requirements, you have the right of access, rectification, erasure, restriction of processing, data portability and objection to certain processing. Where processing is based on consent, you may withdraw that consent at any time with effect for the future.

16. Right to lodge a complaint

You have the right to lodge a complaint with a data-protection supervisory authority. In Italy, the relevant authority is in particular the Garante per la protezione dei dati personali.

17. Automated decision-making

We do not use solely automated decision-making, including profiling, that produces legal or similarly significant effects in connection with hotel enquiries or direct bookings made through this website.

18. Changes to this policy

We update this privacy policy when legal requirements, services used or our processing activities change. The version published on this website at the relevant time applies.
